Purpose: Guidelines

Scope: All Members

“Personal data” means any information relating to an identified or identifiable natural person. An identifiable natural person is one who can be identified, directly or indirectly. Examples include reference to an identifier such as a name, an identification number, location data, an online identifier or email address.

PCC does not consider information that has been anonymized or aggregated so that it can no longer be used to identify a specific natural person, whether in combination with other information or otherwise as personal data.

“Member” means a paid up member of PCC.

“PCC” means PROBUS Club of Clarington

Policy: PCC will only collect, use and disclose information about a Member in accordance with the terms of this Privacy Policy.

• 1.     PCC collects information from the Member upon joining PCC and during their membership term.
• 2.     Personal data may be used by PCC to enable it to communicate with the Member regarding club activities.
• 3.     Members may opt out of receiving communications by clicking on the unsubscribe button on the bottom of communications or by editing the settings in their profile.
• 4.     PCC may provide the Member’s Personal data to other Members to facilitate involvement in PCC activities. PCC limits access to personal information about the Member to other Members. Members may opt out of sharing their phone, number(s) and address with other members by visiting the privacy tab on their profile and changing the privacy settings.
• 5.     All personal information that you provide to PCC must be true, complete, and accurate.  Personal information may be changed by the member by editing the member’s profile.  You may also notify PCC of any changes to such personal information.
• 6.     PCC reserves the right to disclose any Personal data as needed if such information is requested by law enforcement agencies or if requested to do so by law, regulation, court order or any government entity.
• 7.     PCC may disclose the Member’s Personal data for any purpose to which the Member consents.
• 8.     The security of Personal data is extremely important. PCC maintains administrative, technical and physical safeguards designed to protect against unauthorized use or disclosure of, or access to Personal data collected. Personal data collected is retained as long as necessary to fulfill the purpose for which PCC collects it except if required otherwise by law. Information will be used only for the purposes intended.
• 9.     The Member’s personal information will always be used or disclosed in accordance with applicable Canadian privacy laws.
• 10. Payment Data.  To process a payment for membership or event fees your credit card data is collected and processed by a third-party Payment Card Industry service.  PCC uses AffiniPay LCC which complies with Payment Card Industry Data Security Standards.  You may find their privacy policy at https://www.affinipay.com/terms/privacy/.
• 11. PCC also collects information through cookies and similar technologies.  PCC uses Wild Apricot member management software that collects data such as devise and browsing information to manage the system.  Wild Apricot’s privacy policy may be found at https://www.wildapricot.com/legal-center/privacy-policy.  A complete list of cookies Wild Apricot collects may be found at https://www.wildapricot.com/legal-center/cookie-policy. PCC also uses Google Analytics to collect log and usage data to better understand who is visiting the web site and what pages are visited.  This data is used to aid in the improvement of the website and marketing PCC.  The data PCC collects may include your IP address, device information, browser type, device type and location data.  Google Analytics privacy policy may be found at https://policies.google.com/privacy.
• 12. Within your browser settings you may choose whether or not to accept cookies.  You may also control whether or not to accept third party cookies.
• 13. PCC reserves the right, in its sole discretion, to modify or replace this privacy policy in whole, or in part, at any time.
